Electronic
Records Management
In the past the physical filing system defined what
was meant by records - simply paper documents stored in cardboard
files. The size of the file was largely determined by the way in
which the files were racked.
However, computers have changed the way in which records are now
created and the work environment. Much of our work, research and
discussion which leads to a decision are now carried on by e-mail,
word processor and databases. In a sense the paper record now no
longer exists and as a result most decisions, arguments and policy
creation are no longer accurately recorded, if at all.

Who prints out an e-mail and puts it on file? Well most of us don’t…..and
there lies the problem.
Factum
is an electronic filing system capable of capturing all electronic
outputs such as e-mails, presentations, database-produced reports,
scanned documents and images. It just sits on top of the existing
IT framework and allows anyone to file output in an electronic registry.
